Property Management Assistant - Maternity Contract

My client are recruiting for an experienced property management assistant to work in their busy Property Management Department which manages over 40 properties across London. The role will involve working alongside another PM assistant and the contract will be for a 9-12 month period.
My Client would like to find someone with at least a years’ experience in a similar role.
The job will include the following:
Booking contractors as necessary e.g. cleaners, plumbers, electricians
Booking all inventory check-ins and outs, notify the landlord and tenants (though CFP) via email – the Rentals team will notify you of all the information (we book most non-managed and all managed properties)
Complete name changes for all utilities at the beginning and end of tenancies
Dealing with emergencies as a matter of priority
Keep landlord Gas safety reports up to date at all times
Keep all files up to date – print off ALL correspondence sent and received
Booking pre-tenancy cleans, PAT/ electrical test, smoke/ carbon monoxide test, gas safety’s where necessary
Visit the properties up to 4 times per year – checking the condition and report any noticeable issues back to the landlord, along with quotes etc.
Chase Landlord’s for funds (via email) when necessary
Experience using CFP software
Put invoices on CFP and keep an eye on whether they have been paid – pass to accounts for payment
Void management – collecting & forwarding post to tenants/landlords, check property is in good order whilst vacant, pay bills (if agreed beforehand & have funds)
Update payment spreadsheets – log invoices and payments dates
Help negotiate dilapidations and process all confirmed deposit returns (through CFP)
Compatible skill set:
Excellent written communication skills
Strong interpersonal skills for dealing with an array of people including Landlords, tenants and contractors
Able to work well under pressure
Highly organised
Confident in dealing with HNW clients
Computer literate with good working knowledge of Office, Excel and Word
Previous experience in Property Management
The hours of work will be from 9am to 6pm, Monday to Thursday and 9am to 5pm on Fridays.
